The Departmental application enables users in multiple and single facility health care organizations to:
   • Facilitate sharing of clinical/administrative data among ancillary department
   • Automate results reporting and transcription
   • Streamline the transcription process
   • Design report formats
   • Process orders on-line
   • Separately track fees associated with department's tests and procedures.

Standard Features

Multi-departmental Application
The application enables any number of ancillary departments to share clinical and administrative information from throughout the health care organization. Just as important, each department can develop its own on-line procedures and reporting capabilities to:

• Maximize the consistency and efficiency of result reporting
• Maintain a history of patients’ past procedures and service dates
• Enter and process orders and charges more proficiently
• Capture hospital service charges and bill for professional fees that are automatically sent to the financial system
• Maintain department-specific daily logs and technician workload
• Store and retrieve department information sent to optical disk
• Spell check reports and physicians’ dictation (through separate option)
• Access all data elements from Registration, Laboratory, Medical Records, Order Entry, Anatomical Pathology, Pharmacy, Radiology, and Community-Wide Scheduling.

Automation of Clinical Reporting
The application allows users to report results of tests and procedures performed and transcribe clinical findings. Working in conjunction with MEDITECH’s Patient Care Inquiry and Order Entry, the application automates results reporting and transcription. In turn, integrated computerization provides departments more proficient “requisition-to-result” time and allows for better utilization of resources. Departmental reports include:

• Organization-defined data entry screens
• Canned text
• Free text sections for entering unlimited amounts of data
• Standard patient data fields, such as a patient’s name and age, that automatically default into a report
• Organization-defined report headers and trailers
.

Departmental result reports can be automatically printed for physicians, insurance companies, or any authorized person. These reports can be generated also for specified locations throughout a health care network. Department results are made available in the patient’s electronic medical record (MEDITECH’s Patient Care Inquiry) where authorized users throughout the health care delivery system can view them.

Medical Records Transcription
Functional word processing capabilities allow transcriptionists, both in and out of the health information/medical records department, to more efficiently:

• Transcribe reports and physicians’ dictation
• Monitor transcription processes and reports
• Access patients stored on the hospital’s Master Patient Index through the Soundex Search feature.

Transcription Capabilities
The application’s versatile reporting features enable transcriptionists from Medical Records and other departments to enter dictated reports quickly and accurately. With functional word processing capabilities, transcriptionists and department users have the ability to:

• Automatically insert patient-related demographic or clinical data from other MEDITECH applications
• Enter reports for unregistered patients with temporary identification
• Locate and copy frequently used words, phrases, and paragraphs from canned text assembled by the hospital
• Display patients’ demographic information from the “header” while typing in text/canned text sections
• Enter dictated material into convenient hospital designed formats
• Quickly produce professional looking reports for every department
• Print reports at any printer
• Generate reports for multiple recipients, such as insurance companies, dictating physician, and any other recipients defined
• Generate clinical reports by utilizing organization defined report templates
• Retrieve existing patient data on reports with minimal key strokes
• Edit existing reports
• Automatically save text after every five lines
• View reports on-line prior to printing
• Have physicians electronically sign departmental reports using a personal identification number.

On-Line Design and Printing of Reports
The application allows departments to design report formats to ensure reporting consistency. System users can:

• Specify physical characteristics of reports
• Determine information displayed on reports
• Set standard distributions for reports
• Associate report formats with procedures
• Give reports appropriate titles or names
• Define the status at which a report will generate a charge
• Create standard report headers and trailers for each department
• Define the final status of the report
• Define the status at which a report is available for viewing through MEDITECH’s Patient Care Inquiry
• Run daily logs of all reports in a department
• List all incomplete reports
• Specify canned text to automatically appear in reports
.

On-Line Order Processing
The application allows departments to process orders and charges that have been entered for a specific patient. Integration with the hospital’s HCIS instantly provides the patient’s demographic and administrative data along with the orders. From a single order entry screen, users can enter on-line orders for tests, supplies, treatments, maintenance requests, diets, and other related requirements.

Department users, with the proper authority, can:
• Enter clinical reports, charges, and credits
• Edit order status and the name of the technician
• Amend orders
• Reprint orders
• Delete orders
• View order history.

For even greater expediency, users in departments have the ability to:
• Mark several orders for processing at the same time or process orders one at a time
• Enter order sets and series orders
• Verify duplicate orders
• Delete, amend, or process orders transmitted from patient care areas
• Streamline charge entry by associating multiple patients with the same charges
• Enter an unlimited number of department orders for a patient
• Enter results on patient’s orders which are immediately available on-line to authorized users.

Automatic Capture and Billing of Organization/Professional Fees
The application enables departments to separately track organization and professional fees associated with their tests and procedures. System billing features assist departments with:

• Defining the professional fee and organization charge associated with each procedure
• Determining if the professional price can be edited
• Deciding at what stage the organization component can be billed
• Generating professional billing lists for the medical staff.

Transcription Statistical Reports
The application offers an assortment of standard reports that provide department managers with ways to obtain and monitor transcription statistics.

• History Input Log
• Merge/Unmerge Log
• Report Log
• Uncharged reports
• Incomplete reports
• Lists sorted by report status, patient, transcriptionist, and dictating doctor
• Professional Fee List
• Patient Billing Activity (Professional Charges)
• Billing List (Professional Charges)
• Daily Transcription Statistics
• Period Transcription Statistics
• Dictating Doctor and Transcriptionist Statistics
.
